Duties and Responsibilities

The Conference Administrator will work closely with the NCMC Treasurer, the Annual Meetings Chair, Local

Arrangements Chair, and Professional Development Chair, in the following capacities:

● Ensure that all conference information on the NCMC website is consistent with the information on the

conference management site.

● Assist with communicating conference reminders to registered attendees.

● Create and maintain a spreadsheet to track conference registrants, vendors, sponsors, etc. and their payments;

to be shared with the NCMC Treasurer and Annual Meetings Chair.

● Manage registration in WildApricot, a web-based conference management system, including manual updates to

registration records as needed and scheduling of automated messages.

● Communicate with all conference registrants. Respond to all questions from registrants, vendors, and sponsors.

● Be present during the conference on April 11-13, 2026 in Greenville, NC to assist conference attendees with

registration and other questions.

● Assist with other conference-related tasks, as needed, including but not limited to nametags, conference

packets, coordinating with volunteers, and all other aspects of conference planning and management.

The conference administrator will begin no later than January 15, 2026 and be available to virtually meet with

Professional Development, Annual Meeting, and Local Arrangements Chairs as needed prior to the conference. The work

will take place between January 2026, when on-line registration begins, through the completion of the conference. It is

mandatory that the conference administrator is available for the entire conference, from Saturday, April 11 through

Monday, April 13, 2026.

Desired Qualifications:

Successful applicants should have demonstrated experience with Microsoft Excel and Word. They should also be detail

oriented and possess strong organizational skills. Ideal candidates are outgoing and enjoy interacting with people, can

supply their own laptop, as well as problem solve on their feet.

Compensation: $1,500 – To be paid in installments between January and April 2025. Conference registration fee will be

waived for the conference administrator.
